2022 Notice to presenters

Presentations must be made at the venue (online presentations are not accepted).


1. Venue

2. Oral presentation reception

– Hand the presentation slide data to the presenter receptionist at each presentation venue.
– Hand over your data via USB or CD
– Use the break time before the session to come to the presenter receptionist, so give yourself plenty of time.
– For the first session on the afternoon of September 27th, hand over the data by 12:30-12:50 on the day.
– The data will be deleted immediately after the meeting ends.


3. Outline of oral presentation

– Location: Venue 1 (3F 301+302), Venue 2 (3F 304+305)
– Period: Tuesday, September 27, 13:00-17:00
    Wednesday, September 28, 9:00-17:00
    Thursday, September 29, 9:00-16:30
– The presentation time for each topic is 12 minutes for presentation and 8 minutes for discussion (including  shift time), totaling 20 minutes.
– 1 bell for 10 minutes, 2 bells for 12 minutes, 3 bells for 20 minutes
– If you exceed the presentation time, you may be asked to finish your presentation.
– Please change presenters smoothly.



4. Specifications of personal computer, OS, software, etc.

The specifications of the computer, software, etc., prepared by the meeting secretariat are as follows (video playback is basically not possible).
– OS: Windows 10
– PowerPoint for Windows: 2013/2019
– Non-OS standard fonts may not be displayed correctly.
– Operation cannot be guaranteed when using the animation function.
– The file name should be “Presentation number_Presenter’s name” (Example: 1-1_Taro Kumamoto.pptx)
– You cannot use video or audio.
– Be sure to complete a virus check for the presentation slide data.
– Files that have been confirmed to be infected with a virus cannot be used.


5. Details of oral presentation venue and online distribution

– Check the program posted later for your presentation time and presentation number.
– Presentation slides will be shown on the projector at the venue, and will be distributed online outside the
 venue.
– Laser pointers, mice, and microphones are available at the venue.
– The presenter or co-researcher must operate the computer during the presentation.
– Online delivery by ZOOM
– Presentation slides, venue audio, and images of speakers are distributed online
– Questions and answers at the venue are the same as regular presentations, and only chats are available for
 online participants
– Q&A and discussion will be handled by the chairperson.



6. Outline of Poster Presentation

– Location: 4F 401
– Period: Tuesday, September 27th 14:30-15:00 Put up your own poster
     Tuesday, September 27th 15:00-19:00 (17:00-19:00 is Roundtable)
     Wednesday, September 29 9:00-19:00 (17:00-19:00 is Roundtable)
     Thursday, September 29, 9:00-15:00
     Thursday, September 29, 15:00-16:30 Venue facilities will be removed
– Core time (explanation/discussion): Wednesday, September 28, 13:00-14:00 (face-to-face)
                  Thursday, September 29, 13:00-14:00 (online)
– Poster size: vertical, within the panel size, attached with thumbtacks prepared at the venue
– Installation position: The poster number (approximately 20 cm x 20 cm) will be pasted on the upper left
           on the panel.
– Items that protrude forward and obstruct traffic cannot be exhibited.
– We are not responsible for damage or loss of valuables.
– Collect your poster after the exhibition ends.
– We will dispose of posters, etc. that remain after the venue equipment is removed.



7. Core time details for poster presentations

– Respond to questions and discussions in front of your poster during face-to-face and online core time
– Face-to-face core time will be subject to judging for the Young Presentation Award, just like regular
 presentations.
– Either a wired or wireless LAN environment for online core time will be available at the venue
– The presentor should prepare your own laptop, PC headset, etc. for online core time.
– Online core time is scheduled for two-way discussion via ZOOM
– Presentation slides for online core time can be either poster style or slide style.
